Real-estate lead management: no WhatsApp conversation left hanging
The hard part of following up leads is not keeping the list; it is knowing what stage everyone on it is at. Realtiq ties every conversation to a lead card and updates its stage — greeting, needs analysis, portfolio sent, viewing — on its own.

Why follow-up breaks down
In real estate, lead follow-up usually lives in a spreadsheet, a notebook or the agent's memory. With a few leads that is enough. But for an agent running thirty chats at once, the “what's your budget, how many rooms?” loop restarts in every conversation, some chats stop halfway and the customer gets bored and goes quiet. Most lost leads were never turned down; they simply were not followed up.
Stages move forward on their own
Every lead in Realtiq has a stage, and that stage changes by itself as the conversation progresses. The agent never has to reread a chat to work out where things stood:
Lead arrived — first message received, greeting sent.
Needs analysis — the four criteria are being collected.
Portfolio sent — matching listings were sent to the customer.
Awaiting viewing — the customer is interested in a listing.
Viewing booked and Confirmed — the showing is planned.
No match, following up — no suitable listing today, the lead is not lost.
What is on the lead card
The top of the card holds the criteria the assistant collected: transaction type, area, rooms, the lower and upper budget and the tolerance applied. Below it is the session flow — every step from greeting to viewing, with the messages. When the same customer writes again weeks later, the new conversation is added to the same card as a separate session; the history is not lost.
Whose lead is it
Listings from several agents can match one customer. In that case Realtiq connects the customer to the agent with the best-matching listing; the agents of the other matching listings are notified, but the customer stays in a single conversation. In the dashboard the manager sees every lead in the office, each agent only their own. “Who is handling this customer?” stays clear for both the customer and the office.
Noise stays out of the list
A follow-up list is only worth something if the people on it are real buyers. Insults, flirting, advertising, media files and messages trying to mislead the system are filtered out by the protection shield and collected in a separate Error Log. That way your lead count, conversion funnel and agent performance reflect real demand. What the shield filters and how is explained in how the protection shield works.
Measuring follow-up
The Reports page shows the result of follow-up: a conversion funnel of how many leads sit at each stage, agent performance, the most-matched listings and a regional demand map. Seeing where you lose leads shows what to change. If you are curious how leads are matched to your portfolio, see the property matching page.
Frequently asked
Do we enter lead records by hand?
No. A record opens the moment a customer writes to your office's WhatsApp number, and the transaction type, area, rooms and budget the assistant collects are written to the card automatically. Agents only update field developments such as the outcome of a viewing.
What if the same customer writes several times?
New conversations accumulate on the same lead card as separate sessions. When an agent opens the lead they see past sessions, messages and previously collected criteria together.
What happens to a lead when no listing matches?
The assistant suggests criteria flexibility or a waiting list, and the lead remains visible in follow-up in the dashboard. A customer with no suitable listing today is not lost for the listing that arrives tomorrow.
Who keeps the lead data?
All conversations, lead details and appointments belong to you alone. They are not shared with other offices, not sent to third-party ad networks and not used for model training.
